Privacy Policy
Effective June 28, 2026
This Privacy Policy explains how RobinLetter (“we”, “us”, or “our”) collects, uses, and shares information in connection with our website and related services (the “Service”). RobinLetter is operated by Samuel Minter.
Information We Collect
Information you provide. When you create an account and use the Service, we collect the information you give us — such as your name, email address, and password (stored in hashed form) — along with the content you submit and your settings and preferences.
Information collected automatically. When you use the Service, we and our service providers may automatically collect:
- Device and connection information — such as your browser, operating system, and device or display characteristics.
- Usage and activity information — such as the pages and features you access, the actions you take, and the dates and times of your activity.
- Diagnostic and performance information — such as technical and timing data used to monitor and improve the Service.
- Communications records — such as records of the emails we send you in connection with the Service.
Our hosting provider also maintains standard server logs, which may include your IP address and related request information.
How we use it. We rely on activity and usage metadata to operate, secure, and improve the Service. We do not read your individual updates and comments to monitor you — other than as needed to operate the Service or as required by law — and we do not sell your content or use it to serve you advertising.
Email. We use your email address to send you messages related to the Service. These include account and activity notifications — such as turn reminders and updates about your Robins (each a private group letter you share with its members) — which you can control through your notification settings. We may also occasionally send messages about the Service itself, such as news about new features; such messages will include a way to opt out.
Cookies
We use only essential first-party cookies — for example, to keep you signed in and to keep the Service secure. We do not use advertising cookies, third-party tracking cookies, or tracking pixels, and we do not use third-party analytics.
Your Choices
You can review and update much of your information directly through your account — for example, by editing your updates and adjusting your settings. If you have any questions or requests about your information, please contact us at privacy@robinletter.com, and we’ll do our best to work with you on reasonable requests.
Sharing of Information
We do not sell or rent your personal information, and we do not send your data to third-party analytics services — our analytics run on our own systems. We share information only in the limited circumstances described here. We may disclose the information we collect:
- with service providers who help us operate the Service (such as hosting and email delivery), who may use it only to provide those services to us and must protect it consistent with this policy;
- as required by law — for example, to comply with a subpoena or similar legal process;
- when we believe in good faith that disclosure is necessary to protect our rights, your safety or the safety of others, investigate fraud, or respond to a lawful government request.
International Users
We are based in the United States; if you use the Service from elsewhere, your information is processed in the United States.
Data Retention
We retain your information for as long as needed to provide and operate the Service, and we may retain it indefinitely. We also keep backups of our systems, so information may continue to exist in those backups even after it changes in the live Service.
Children
The Service is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us and we will take appropriate steps. If you are under 13, please do not use the Service.
Security
We are concerned about safeguarding the confidentiality of your information. We provide physical, electronic, and procedural safeguards to protect the information we process and maintain.
Data Breach Notification
If a data breach occurs that affects your personal data, we will notify you in accordance with applicable legal requirements, including, where required, providing information about the nature of the breach and the steps being taken to address it.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will post the updated policy with a new effective date. Your continued use of the Service after an update means you accept the revised policy.
